How Gmail scanning works

After you connect Gmail, Invoflux scans your inbox for invoices, processes the ones it finds, and keeps watching for new ones. It only acts on messages that look like invoices and never sends email on your behalf.

Once Gmail is connected, Invoflux looks through your inbox for invoices and processes them automatically, then keeps watching for new ones as they arrive.

How it works

  • It identifies messages that look like invoices (attachments and invoice-style content) and processes those.
  • For each, it extracts the details and files the invoice in your storage.
  • It keeps running in the background, so new invoices are captured without any action from you.
  • It reads only what it needs to find invoices and never sends email from your account.

Result

Invoices that arrive by email show up in your Invoices list, already read and filed.

Troubleshooting

  • An invoice was missed. Some senders format invoices in ways that are hard to detect. Forward it to your magic email or upload it manually. See Forward invoices to your magic email.
  • An email was skipped. If a message was skipped but you know it is an invoice, open the item and choose Rescan Email to process it again (up to twice). See Fix an incorrectly extracted or skipped invoice.
  • Something was captured that is not an invoice. Open it and mark it accordingly so it does not clutter your list.
